Supervision Hours Tracker Template

Tracking supervision hours accurately is one of the most important parts of the licensure process. Use this template to organize your hours by category, monitor your progress toward state requirements, and catch discrepancies before they become problems.

Why a Dedicated Hours Tracker?

A supervision log records what happened in each meeting. An hours tracker zooms out and answers the bigger question: how close am I to meeting my state's requirements?

Most states require specific hour breakdowns that go beyond just a total number. They want to see direct client contact hours separated from indirect hours, individual supervision hours separated from group supervision hours, and sometimes further breakdowns by population served, setting, or modality. Without an organized tracker, supervisees often discover at application time that their hours don't add up the way they expected.

This template gives you a structured way to tally hours by category, compare your totals against your state's requirements, and spot shortfalls while you still have time to address them.

What Your State Typically Requires

Requirements vary, but most boards ask for some combination of these hour categories:

Direct Client Contact Hours

Time spent providing clinical services directly to clients. This usually includes individual therapy, group therapy, couples/family therapy, assessments, and crisis intervention. Most states require a minimum number of direct client contact hours as part of the supervised experience.

Indirect Clinical Hours

Clinical work that doesn't involve face-to-face client contact: treatment planning, case consultation with other providers, clinical documentation, record review, and community referral work. Some states count these toward the total, while others cap how many indirect hours qualify.

Individual Supervision Hours

One-on-one supervision meetings between supervisor and supervisee. Most states require a minimum number of individual supervision hours, typically one hour per week or per specified number of client contact hours.

Group Supervision Hours

Supervision conducted with multiple supervisees simultaneously. Many states allow group supervision to count toward the required total, but most cap the proportion (for example, no more than half of total supervision hours can be group). Check your state's specific ratio.

Total Supervised Experience Hours

The combined total of all qualifying hours. Typical requirements range from 2,000 to 4,000 hours of supervised experience, depending on the state and license type (confirm current requirements with your licensing board).

How to Use This Tracker

This template is designed for monthly tracking. At the end of each month, tally your hours from your supervision log and enter the totals into the tracker. The running totals column shows your cumulative progress.

  • Fill in your state's requirements first. Enter your board's required minimums at the top so you can compare your progress against a concrete target.
  • Update monthly. Don't let months pile up. Monthly tracking catches errors and shortfalls early.
  • Cross-reference with your supervision log. Your tracker totals should match the sum of your individual log entries. If they don't, reconcile before the discrepancy grows.
  • Track by supervisor. If you've worked with multiple supervisors, keep a separate tracker for each supervision period. Hours verified by different supervisors need to be documented separately.

Common Hour-Tracking Mistakes

Rounding Up

A 50-minute supervision meeting is not one hour. Record actual times and let the math produce the real total. Boards can and do compare reported hours against meeting records, and discrepancies raise red flags.

Mixing Up Categories

Not every hour spent at your practice counts as a direct client hour. Administrative tasks, training, and staff meetings typically don't qualify. Know your board's definitions for each category before you start tracking.

Waiting Until the End

Reconstructing two years of hours from memory and scattered notes is a recipe for inaccuracy. Track monthly, at minimum. Weekly is better.

Tracking Only Totals

Knowing you have 1,800 total hours doesn't help if your board requires 1,500 direct client contact hours and you only have 1,200. Track by category from the start so you can course-correct if one category falls behind.

Not Accounting for Multiple Supervisors

If you've changed supervisors during your supervised experience, each supervisor can only verify the hours that occurred under their supervision. Keep separate tallies for each supervisor period, then combine them for your total.
